Sign the account and credit-card authorization forms in the same legal name that will appear on your insurance certificate.
Provide your full billing address, email, and phone number.
Initial the top of every page of the agreement.
Leave scans of the front and back of a valid credit card and government-issued photo ID on file (we can do this at your first pick-up).
2. Which ID's are acceptable?
Canadian driver’s licence, Canadian photo residency card, or a passport for both Canadian and international clients. ID’s must be current (no expired documents).
For domestic clients, one piece of ID is required.
For international clients, two pieces of ID are required.
3. Do I need insurance?
Yes. Insurance is required for any order with a replacement value of CA $5,000 or more. We may still request insurance for smaller orders.
4. How much coverage is required?
For Van Rental:
Physical Damage Coverage for rented automobiles, which varies with van packages (from $75K to $95K).
Rented Equipment Coverage equal to the replacement cost of the gear in the vehicle or package.
Property (“all-risk”) insurance of at least CA $1 million worldwide, naming Ontario Camera Corp. as loss-payee.
Commercial General Liability coverage of CA $1 million per occurrence and CA $2 million aggregate, naming Ontario Camera as additional insured.
Higher limits apply for foreign, aerial, or aircraft shoots.
For Equipment Rental:
Only Rented Equipment Coverage equal to the replacement cost of the gear.
5. When do I send the Certificate of Insurance (C.O.I.)?
Please email us the C.O.I. before the equipment leaves our shop. Coverage must stay in force for the entire rental period and cannot be cancelled or reduced without 30 days written notice to us.
6. What payment methods do you accept?
Payments can be accepted via debit, credit card (with a 2.4% surcharge for Visa, Mastercard, and Amex), EFT, direct deposit, or cheques.
7. Is there a security deposit?
A security deposit is only required if you do not provide insurance. In that case, the deposit must equal the full replacement value of the equipment. The deposit is fully refundable when the gear is returned in proper condition.
8. When can I pick up and return gear?
Our default is afternoon before your shoot for pick-up and 10 a.m. the morning after your shoot for return. Let us know if you need different times when you email your gear list. Pick-up and return times must be mentioned upon rental request in order to determine accurate rental cost.
9. What happens if I am late returning equipment?
A full extra day is charged for anything returned after the agreed time. Late items may also accrue interest and additional rental charges. After 72 hours from the return date, the gear is considered lost, and after thirty days you will be billed the full replacement cost.
10. What is your cancellation policy?
You should cancel at least 48 hours before the rental starts.
If we sub-rent specialty gear for you, any costs or lost-business charges from that sub-rental will be passed on, so please give as much notice as possible.
11. Can I prep the gear at Ontario Camera?
Yes. You are welcome to prep on site. The rental clock starts once the equipment is in your care, custody, and control. Any damage during prep is your responsibility.
12. Do you deliver?
You are generally responsible for pickup, delivery, and all transit costs. If we arrange transport, those charges will be added to your invoice.
13. Can I take the equipment outside Canada?
Only with our prior written consent.
14. May I lend or sub-rent the gear to someone else?
No. Sub-renting or sub-leasing our equipment without written permission is prohibited.
15. Who is liable if the gear is lost or damaged?
Once you have accepted the kit, you are liable for all loss or damage, including while in transit unless we are the shipper. We may charge your card or claim on your insurance for the verified replacement or repair cost, plus continuing rent until the gear is repaired or replaced.
16. Do you provide warranties?
All of our equipment is maintained and tested before it goes out on a rental. We encourage you to prep and test everything at our facility to make sure it meets your needs. While we cannot provide formal warranties, if a unit becomes unfit for use through no fault of yours, we will replace it whenever possible or apply a fair discount to your rental.
17. Are there any use restrictions?
Yes. Written approval is required for hazardous environments such as salt water, boats, or volcanic ash. All operators must be qualified, and serial numbers or Ontario Camera labels must not be removed.
